Internship report

Hello, my name is Heirani TOOFA and I will introduce you to the company in which I did my internship and the project I worked on.

During my studies, I did six weeks of internship in a company specialized in the hotel industry.

So, I did my internship at the « Pension de la plage » which is a small family hotel, located in Punaauia on the West Coast of TAHITI and about 15.4 kilometers from the city of PAPEETE.  

It was created in 2001, the five years later, on May 16, 2006, Vincent and Anne-Marie MORRELS decided to buy this hotel. They transformed it into a Limited Company.

This small hotel counts 12 rooms with or without kitchenette. The usual associated services are proposed.

Vincent and Anne-Marie are concerned about the environmental impact, they choose to ensure a real ecological management based on the criteria propose by the Green Key label. This is how the « Pension de la plage » was labeled Green Key on January 1, 2016.

This is the first company in French Polynesia to have obtained the Green Key Label.

« The Green key label consists in responding to more than 100 criteria related to the quality of life, to waste management and energy management practices. »

I worked from 8 :00am to 4 :30pm.  But on Friday, I finish working at 3 :30 pm. Everyday I had a lunch break from 12 :00pm to 12 :30pm.

I had a computer with the software I needed, a printer and a phone. I mainly used the Sage software to prepare the invoices, or the Excel software to organize the booking schedule. The company also works with Booking.com and Expedia for the customers reservations.

Every morning when I arrived, I opened the reception. Then, I turned the computer, tidied up the desk, and started reading and answering emails until the personal assistant arrived.

I worked on the customer information system, I updated it and improve it when I could. I prepared the invoices. I updated the website and the documents concerning customer prospection.

During this internship period, as part of my project, I worked on improving the criteria of the Green Key label, in particular on waste management.

For that I had at my disposal a table that includes all the criteria of the label Green Key

In front of this table I noticed that for the waste management part, no communication support towards the customers was put in place

So, I made posters that presents each types of waste

• Gray bin
• Green bin
• Compost
• Oil tray
• Battery tray
• Battery terminal
• Green waste
• Bulky waste

To make this posters, I did some researches on the internet, and I used the software PUBLISHER. I explained clearly what should be placed in the right container.

When I was not working on my project, I was in charge of managing the reception because my supervisor was often absent because he had to attend meetings and the personal assistant finished at 12 :00pm.

It’s important to make sure customers have all the information they need, if they are comfortable in their room. This way, the employees contribute to the good  image of the company.
