THE LETTER (formal document)

  2. the date
  1. Dear Sir, Madam, or Name
  1. Body of the letter
  1. Closing sentence : Say what you are looking for = your request action ( we would like you / could you ...
  1.  Farewell : Yours sincerely / yours faithfully
  1. Signature + job ( = position in the company )
  1. Enclosures : if you need to attach some documents

1 and 2 – Be careful not to translate addresses

3- Dates can be written in different ways in English :

October 12, 1984

October 12th,1984

12th October 1984

12 October 1984

The “best” format is the second one : month, day, year

Please write the month in letters. Thus, no mistakes will be made between the day and the month.

4- For the salutations you have 2 possibilities:

  • Dear Sir/ Madam if you don’t know the recipient
  • Dear Mr, Miss, Mrs + name if you do know the recipient

5- Body of the letter

Try to organise your presentation in paragraphs according to the different elements you want to speak about.

Do not use contractions, slang or familiar words as it is a formal document

6- Closing sentence :

Use this form :

“We/I/the company … shall/be (to conjugate according to the contaxt) be looking forward + VB ING form”

Ex: We shall be looking forward to meeting you, I am looking forward to discussing it with you …

7- For the farewell you have 2 possibilities:

  • If you don’t know the recipient use “yours faithfully”
  • If you do know the recipient use “yours sincerely”

8- Signature

Mention your name and position in the company (+ coordinates if necessary)
