How to write a business letter
- Read the instructions- is this a UK or US letter? Who is the sender? Who is the recipient?
- Layout (mise en page)
- Sender + job + company + address
- Date
- Recipient + job + company + address
- Subject
- Salutations (beginning + end): Dear Mr X, Yours sincerely etc etc
- Read the instructions + content = write the vocabulary we need (place an order, delivery etc)
- What are we writing about? What is the problem?
- What is the solution? Request?
- Do an approximate translation of each sentence in the instructions
- Write our plan:
- 1st paragraph (2/3 sentences):
- Present yourselves/company (use ‘we’ when writing from a company)
- Why we are writing
- 2nd paragraph:
- Problem (date, references, any necessary information...)
- 3rd paragraph:
- Solutions/ Request – what do we want? Use polite questions to break up the text (for extra points!!!)
- Ending
- Say we understand that this is a honest mistake but we don’t want it to happen again
- We would like an answer (we look forward to hearing from you)
- End salutation (yours sincerely/yours faithfully etc etc) + our name + position + signature
